Job Description
Join our team as a Senior Executive Assistant, where you'll provide executive support to multiple leaders, manage complex calendars, coordinate travel, and handle logistics. You'll also set up leadership meetings, connect team members, track action items, and plan team events. This role requires strong organizational skills, attention to detail, and the ability to communicate clearly.
- Experience with event planning, offsites, or team programming a plus
- Experience supporting executives at a software or technology company
- Strong calendar management across multiple leaders, including complex scheduling, changing priorities, and travel
- Highly organized with great attention to detail across multiple moving pieces
- Experience helping run leadership meetings: agendas, prep, notes, and follow-through on action items
- Strong written communication: clear, concise, no fluff
- 5+ years of experience providing executive support to senior leaders, ideally supporting a team rather than a single executive
- High degree of discretion; you'll be trusted with sensitive information about the org, its people, and its strategy
- Cares about the team. You notice when someone deserves recognition, you think about what makes an event worth attending, and you want people on the team to feel connected to each other
- Resourceful. You don't get stuck. If something breaks or plans change, you find a way to get it done
- High-energy and curious. You ask a lot of questions to build context quickly, and then you apply it independently. You want to understand the product, the business, and the people, and you ask when you need context to do something well
- Comfortable with change. ZoomInfo moves quickly and plans change at the last minute. You adjust and find a path forward without needing things to be tidy first
- Proactive and self-propelled. No one is going to walk you through the steps, so you think the work through end to end before anyone asks. If you're booking a day, you've already considered travel time, prep time, and what happens before and after. You see problems coming and solve them, and you bring a recommendation with a question rather than just the question
- Clear communicator. Whether you're writing a meeting recap, drafting a team update, or following up on something that's late, people know what you need and what was decided
- Embedded. You're in the room, in the calendars, and in the conversations, so you know enough context to make good decisions. You build real relationships with the people you support and the broader team
- Diplomatic, and willing to push back. You're comfortable saying no, or "not yet," to a VP or a salesperson who says something is urgent. You protect the leadership team's time and priorities, and you handle friction calmly rather than avoiding it
