Job Description

The Opportunity

Every interaction in our hiring process shapes a candidate’s impression of Hinge Health. As a Recruiting Coordinator, you’ll help make that experience welcoming, clear, and respectful, from the first interview invitation through every schedule change. By keeping candidates informed and interview logistics on track, you’ll help Talent Partners and hiring teams deliver a thoughtful, well-organized hiring process.

What You’ll Do

  • Coordinate interviews across multiple calendars, time zones, and formats, including rescheduling when plans change; complete interview scheduling within 24 hours of receiving a Talent Partner’s request.

  • Create an exceptional candidate experience through warm, respectful, and timely communication. Set expectations clearly, share accurate schedules and next steps, and help candidates feel prepared before, during, and after interviews.

  • Set up and maintain interview plans in Ashby with Talent Partners and hiring managers, including interviewer assignments, candidate-facing details, and feedback forms.

  • Keep candidate records, stages, and scheduling details accurate and current in Ashby; follow established workflows for sensitive or confidential searches.

  • Help interviewers and hiring teams stay prepared by confirming logistics, resolving scheduling conflicts, and sharing updates with the right people.

  • Support additional recruiting operations as needed, which may include reference-check coordination, background-verification steps, and new-hire handoff tasks.

  • When reference-check coordination is assigned, schedule calls the same day reference availability is received.

  • Notice recurring points of friction and suggest practical ways to make coordination smoother for candidates and teammates.

What You’ll Bring

  • At least 1 year of recruiting coordination experience, including interview scheduling and candidate communication.

  • Strong organization and follow-through, with care for details such as time zones, names, links, and calendar settings.

  • Clear, professional written and verbal communication, and good judgment when handling sensitive information.

  • Comfort managing changing priorities and solving time-sensitive logistics calmly.

  • Working knowledge of Google Workspace, especially Gmail, Calendar, Docs, and Sheets.

  • Curiosity about how recruiting works and a willingness to learn new systems and improve processes.

Nice to Have

  • Experience with an applicant tracking system such as Ashby, Greenhouse, or Lever.

  • Experience coordinating interviews or managing complex calendars.

  • Familiarity with Slack and Zoom.

  • Experience in a fast-moving organization.

  • Experience using AI-enabled tools to streamline coordination or draft communications, with attention to accuracy, privacy, and human review.

This is a contract position for 6 months

How You’ll Work

You’ll work closely with Talent Partners, hiring managers, interviewers, and candidates. Success means candidates feel informed and respected, know what to expect, and receive timely updates when plans change. Interview teams have the information they need, and recruiting details are handled accurately and consistently.
