Job Summary
We are looking for a highly organised, proactive and relationship-focused Executive Assistant to support senior leaders within our xScale business.
This is a highly visible, international role offering the opportunity to work at the heart of a dynamic and evolving part of Equinix. You’ll support leaders whose work spans multiple regions and time zones, working closely with colleagues across the wider organisation as well as senior external stakeholders and global investors.
No two days will look exactly the same. From managing complex calendars and international travel to coordinating meetings, communications and competing priorities, you’ll help create structure and keep things moving in a fast-paced global environment. With significant executive travel and relationships spanning EMEA, APAC and the Americas, you’ll need to be comfortable thinking ahead and adapting when priorities change.
xScale is continuing to strengthen its connections across the wider Equinix organisation, making this a particularly exciting time to join. We’re looking for someone who enjoys building relationships, connecting people and learning how an organisation works. You’ll be confident interacting across different cultures and working styles and comfortable operating in a role where the rhythm is continuing to evolve.
If you’re an experienced Executive Assistant who enjoys working in a truly global environment and thrives on variety, pace and collaboration, this role offers an opportunity to have real impact while gaining exposure across both Equinix and xScale’s external network.
What You’ll Be Doing
- Provide high-quality executive and administrative support to senior xScale leaders.
- Manage complex and demanding calendars across multiple international time zones, anticipating conflicts and changing priorities.
- Coordinate extensive domestic and international travel, ensuring schedules and logistics run smoothly.
- Support inbox management, communications and follow-up activities, helping leaders stay focused on key priorities.
- Coordinate meetings with senior internal stakeholders, external partners and global investors.
- Build strong relationships with Executive Assistants and colleagues across Equinix to support effective communication and coordination.
- Work closely with the xScale Chief of Staff and leadership team to coordinate short and longer-term schedules and priorities.
- Organise meetings and events, including logistics, agendas, materials and follow-up actions.
- Prepare and process expense reports, purchase orders and invoices.
- Support correspondence, communications and other administrative activities across the xScale organisation.
- Anticipate needs, identify potential issues and proactively bring structure to competing or changing priorities.
- Handle confidential and sensitive information with discretion and sound judgement.
What We’re Looking For
- Strong experience supporting senior executives, ideally within a large, international or fast-paced organisation.
- Experience managing complex calendars, international travel and schedules across multiple time zones.
- A proactive and resourceful approach, with the ability to anticipate needs and think ahead.
- Excellent organisational and prioritisation skills, with the ability to adapt quickly as priorities change.
- Strong relationship-building skills and confidence working with stakeholders at all levels.
- Excellent communication skills and professional fluency in English. No additional language requirement was identified for the role.
- Strong cultural awareness and confidence working across different countries, cultures and working styles.
- Excellent judgement, professionalism and discretion.
- The ability to work independently and bring structure to a dynamic environment.
- Strong attention to detail and a commitment to quality and accuracy.
- Proficiency with Microsoft Outlook, Word, Excel, PowerPoint and Teams.
- Experience working in a global or cross-functional environment would be advantageous.
